This agreement applies as between you, the User of this Web Site, and Lights of Vikings, Porfyrvägen 50, 981 40 Kiruna, Sweden — join@lightsofvikings.com — the owner of this Web Site. Your agreement to comply with and be bound by these terms and conditions is deemed to occur upon your first use of the Web Site. If you do not agree to be bound by these terms and conditions, you should stop using the Web Site immediately.
Making a booking
These terms and conditions apply to all direct bookings with Lights of Vikings made by phone, email, WhatsApp or through our website. By making a booking you agree to these booking terms and conditions.
You must be 18 years old or over to make a booking, and ID may be requested as set out below.
For the purposes of security and prevention of fraud, we may ask guests to confirm their identity by providing photo ID, such as a passport or driving licence, together with the credit or debit card used to pay for the booking. This may be requested at any time between the date of booking and arrival, and we reserve the right to cancel the booking and refuse participation if it is not provided.
You accept these conditions on your own behalf and on behalf of all members of your party, whether you are booking as a guest or on behalf of others, and you are responsible for making all payments due to us. If you are booking as a business, you accept these conditions on behalf of that business.
Booking confirmation and contact details. We contact our customers by email or WhatsApp after a reservation is made. Please make sure your email address and phone number are entered correctly — we cannot be held responsible for information that does not reach you because of incorrect contact details.
Booking disclaimer
When you book with us we always aim to deliver a unique and lasting experience. However, because we rely on certain factors that are outside our control, we ask you to acknowledge the following.
Participants
Most of our experiences and tours require a minimum number of guests in order for the tour to be viable. If the minimum number of participants is not reached by the time bookings close for that tour, we will inform you and offer you the choice of rescheduling or a full refund.
Weather
Most of our experiences and tours depend on suitable weather conditions. Because we want you to have the best possible time and, above all, to be safe, we may need to cancel at relatively short notice. If we have to do so, we will inform you as soon as possible and offer you the choice of rescheduling or a full refund.
Aurora
The aurora is a natural phenomenon caused by disturbances in the magnetosphere resulting from solar wind. We cannot guarantee that you will see the aurora. We do assure you that our guides will do their absolute best to locate it.
Your safety and conduct
Our tours take place outdoors in an arctic environment. You are responsible for arriving with suitable clothing and footwear and for informing us at the time of booking of any medical condition, allergy, dietary requirement, reduced mobility or pregnancy that may affect your participation.
You must follow the instructions of your guide at all times. We reserve the right to refuse participation to, or remove from a tour, any guest whose behaviour or condition — including being under the influence of alcohol or drugs — we reasonably consider to present a risk to themselves, to other guests or to our staff. No refund is due in these circumstances.
Travel insurance
We strongly recommend that you take out adequate travel insurance before travelling to Sweden. This type of insurance protects you against financial loss arising from flight delays, illness, cancellation and other adverse events during your trip. Lights of Vikings is not liable for costs that would ordinarily be covered by travel insurance.
Late arrival and no-shows
Departure times are stated in your booking confirmation. Please arrive at the meeting point at the time indicated. If you arrive after the group has departed, or do not attend, the booking is treated as a no-show and no refund is due.
Photography and media
Our guides may take photographs and video during tours, and we may use this material for promotional purposes. If you do not wish to appear in such material, please let your guide know before the tour starts and we will respect your request.
Pricing
Because changes and mistakes can happen, we may increase or reduce prices, or correct pricing errors, at any time before you book. We will confirm the price of your booking when you make it. Please check all details at the time of booking.
Prices are shown per person unless otherwise stated. What is included is stated specifically on each tour page. Unless otherwise specified, prices do not include local taxes, charges or fees, and do not include gratuities to the guide, driver or tour manager.
All prices are charged in Swedish krona (SEK).
Offers and discounts
Promotions and discounts are applied at the discretion of the company. We reserve the right to decide when offers are available and when they are not. Offers cannot be combined with each other or with any other promotion unless we state otherwise, and cannot be applied retroactively to bookings already confirmed.
No discounts are available on aurora tours between 23 December and 10 January.
Two-night offer — 20% discount
We offer a 20% discount when you book two aurora tour nights, subject to the following conditions:
Both nights must be booked in the same transaction. When two nights are reserved together, in a single booking, the 20% discount applies to both nights.
If the second night is added later, as a separate booking made after the first night has already been confirmed, the 20% discount applies to the second night only. The night already booked and paid for keeps its original price and will not be recalculated or partially refunded.
The two nights do not need to be consecutive, but both must fall within the same season and be confirmed and paid in full at the time of booking.
The discount applies per person and to the tours specified in the offer. It does not apply to bookings for tours taking place between 23 December and 10 January, and it cannot be combined with any other promotion, voucher or group rate.
If one of the two nights is cancelled by the guest, the discount no longer applies to the remaining night. The remaining night is recalculated at its standard price, and any cancellation charges are applied in accordance with our Cancellation Policy. Where the recalculation results in an amount owed, it will be deducted from any refund due.
If we cancel one of the two nights (for example, due to weather or insufficient participants), you keep the discounted price on the night that goes ahead and we refund the cancelled night in full, or you may reschedule it.
A 3-night option is also available as our Aurora Pass; see the relevant tour page for its own pricing and conditions.
Payment
The total cost of the booking must be paid at the time of booking. We will confirm the amount in your booking confirmation. Payments are accepted online only, and we do not accept cash under any circumstances.
Amending and cancelling bookings
We understand that plans can change. If you wish to change your booking, we will do our best to accommodate you, but we cannot guarantee changes. In all cases, please notify us as early as possible by phone or email.
Cancellation charges depend on the type of tour and the date on which we receive your notice. The applicable charges are set out in full in our Cancellation Policy, which forms part of these terms and conditions.
Refunds. We collect and refund online payments in Swedish krona. When a refund is issued to a card held in another currency, your bank converts it at its own exchange rate. Because exchange rates change daily, the amount you receive may not match the amount you paid. We are not involved in that conversion process.
Right of withdrawal. Under Swedish and EU consumer law, the 14-day right of withdrawal does not apply to contracts for leisure services provided on a specific date or during a specific period (Chapter 2, Section 11 of the Swedish Distance and Off-Premises Contracts Act, and Article 16(l) of Directive 2011/83/EU). Bookings with Lights of Vikings are therefore governed by the cancellation terms set out above.
Intellectual property
All content included on the Web Site, unless uploaded by users — including but not limited to text, graphics, logos, icons, images, sound clips, video clips, data compilations, page layout, underlying code and software — is the property of Lights of Vikings, our affiliates or other relevant third parties. You may not reproduce, copy, distribute, store or otherwise re-use material from the Web Site unless otherwise indicated on the Web Site, or unless you have express written permission from Lights of Vikings.
Photographs provided after the tour
The photographs and videos taken by our guides during a tour and shared with guests afterwards remain the exclusive property of Lights of Vikings. They are protected by Swedish and international copyright law.
We grant you a free, non-exclusive, non-transferable licence to use these images for personal, non-commercial purposes only — for example, keeping them, printing them for yourself, or sharing them on your personal social media accounts. When sharing them publicly we kindly ask you to credit Lights of Vikings (@lightsofvikings).
You may not, without our prior written permission:
sell, license, resell or otherwise commercially exploit the images, including through stock photography platforms, NFT marketplaces or print-on-demand services;
use them in any advertising, promotional, editorial or commercial context, whether your own or a third party’s;
transfer them to any third party for commercial use;
claim authorship of the images, remove or alter any watermark, credit or metadata, or register them in your own name;
use them to train artificial intelligence or machine learning models.
Where a guest appears in an image, that guest may of course use it personally under the licence above; this does not transfer ownership of the image.
If you would like to use any of our images commercially, please contact us at join@lightsofvikings.com. We are usually happy to agree terms.

Every effort has been made to ensure that these terms and conditions comply strictly with the relevant legal provisions. However, in the event that any of these terms is found to be unlawful, invalid or otherwise unenforceable, that term is to be deemed severed from these terms and conditions and shall not affect the validity and enforceability of the remaining terms. This provision applies only within jurisdictions where a particular term is illegal.
No waiver
If any party to these terms and conditions fails to exercise any right or remedy contained in them, this shall not be construed as a waiver of that right or remedy.
